BULLETIN  #1

April 18, 2024

President's Message

Dear K-F Bingo Volunteers,

Please be advised I have agreed to take on the Bingo coordination (for a short period) to free Aggie from this burden, and I have notified Kim of this change.

We have a number of issues to address with Kim, which I will take on going forward.

Anything that might have happened prior to today is in the past.  Among the things I need to get from Kim is our "Infraction Report" and may need to get some help from you to better understand it.  Our Club is committed to Bingo and is counting on each volunteer to execute his/ her responsibilities in accordance with requirements to keep our Bingo licence in good-standing.

Our Club owes a debt of gratitude to Aggie for her tireless dedication in coordinating Bingo over these past years, as it has grown to become by far the Club's primary source of funds, enabling us to support many important Community and Youth service projects in the Kingston-area.  And to the member-volunteers who support Bingo, many thanks for your sacrifice and commitment.

Don't forget to sign up for your preferred Bingo shifts - many dates are available beginning in July through March 2025.  And please also see (below) some recent information received from the Bingo administrators as we start the new Bingo year.

A very good month - our best revenue month of the year!
...should have been better.

From: PCGA April 2024 Update

Please read this entire update and pass along the relevant information to your volunteers.

What?
A recording-breaking month!
The best yet!
Share Value for March:
$1,377.35
Your volunteers “donated” $344/hour to your charity! Where else can you make this? Please tell them how important this money is to your charity! Tell them how much they are making! What were you able to accomplish from these gaming centre funds? IF you weren’t able to raise funds at Play! what would you not be able to do?
April/October Deletions to your Bonafide Listing – Now is the time to remove those who are no longer volunteering for your charity. Remember you can add volunteers to your list at any time as long as there is room… maximum 20 volunteers. You can only delete names twice per year. Please ask Kim for your current listing if you are unsure who is on it.
On-Line Training – A good practice when a new volunteer notifies you that they have taken the on-line training is to confirm with Kim that it has been completed before they volunteer for a shift. Sometimes people will take the wrong training by mistake. You can ask for an updated bonafide listing any time.
All volunteers must take the on-line training prior to their first shift. Using an untrained volunteer will result in an infraction and loss of ½ share.
Training Links (these links are also on the Training page of our website, pcga-kingston.ca)
Sign-In Binder – If someone is volunteering for two shifts in a row, they must sign in twice (once for each two-hour shift). Do this at the beginning of the first shift so it is not forgotten. The sign-in training has been updated to remind everyone of this. Thank you to Gerry S. and Kelley P. for the great suggestion.
Another way to avoid inaccurate signing-in… have each volunteer double check the other’s sign in to ensure it is complete. Don’t forget it is also mandatory to check in with the Lotto Attendant. Make sure they know that as a volunteer, you are checking in.
Please print legibly!! 186 shifts per month multiplied by at least 2 volunteers per shift = 372 names. Checking illegible names for accuracy takes a long time! Please print legibly! If one volunteer notices that the other volunteer’s printing is illegible, please reprint their name underneath.
Last Shift of the Day, the 10:15 pm-Midnight – Please ensure that the two gray poster containers are locked up overnight. The key to the cupboard is kept behind the sales counter: just ask staff.
Clearing Tables – At the end of bingo sessions, if daubers have been abandoned, please do not throw them out: staff have asked that you take them to the Sales Counter.
Tap ‘n Play Area – Please do not remove tickets from the games. They are for the next customer to discover.
New OCGA Policy – When clearing tables, volunteers need to leave any alcoholic beverage containers, empty or partially full, due to SmartServe regulations.
Volunteer Breaks – With the loss of calling back bingos, it is now even more important for volunteers to mingle/chat with customers and staff. Volunteers need to take any short breaks during long bingo games and not when customers have a break… missed opportunity.
Posters – Although two small 8-1/2 x 11 posters are supplied by PCGA, to be displayed at each door (front lobby; Social YGK entrance), it is strongly encouraged that charities supplies two large size posters to be placed on easels located at both doors. Another opportunity to make sure customers are aware of the charity aspect of the gaming centre.
Our Livable Solutions – One of our newer charities! A great article was included in OCGA’s last newsletter as well as on their website. Please take a look. Here is the link to the website article: https://www.charitablegaming.com/post/more-to-a-person-s-story
S/M posts – Thank you everyone for continuing to send in your social media posts every month!
Thank you for everything that you do for your charities!

Ontario Charitable Gaming Association (OCGA)
Kingston cGaming Meeting Highlights
April 16, 2024

Notes from the Zoom meeting with Richard Schwar (OCGA) leading the call.

Meeting began at 7:05pm and Zoom indicated there were 62 participants on the line. These are the primary points presented/ discussed:

  • For Bingo year 2023-24, $92 million was raised for charities in Ontario, up 20% over last year.
  • Since its inception, more than $500 million has been raised for Ontario charities, $30 million in Kingston-area.
    • 30% of revenue comes from Bingo, 70% from cabinet games (slot machines, etc.)
  • OCGA partners with 37 gaming centres in 28 municipalities across Ontario, 2 in Kingston.
    • there are 391 service clubs helping over 5,000 charities across Ontario
      • on average each service club supports 8 charities not affiliated with gaming.
    • OCGA has pushed to add 300 charities in the last 18 months
      • to compensate for more than 200 organizations lost/ ceased operations since the pandemic (insufficient funding / staff)
  • different from other gaming organizations, OCGA is the only one benefiting Ontario charities
  • OCGA is coming out with new branding/ advertising spots on TV and radio.
  • Since each municipality, like each charity, is different, OCGA attempts to be flexible in its policies and procedures to accommodate all and keep up with the times
    • eg. it's no longer mandatory to pay out grants by cheque.  Just show the receipt.
    • Monthly reporting has gone digital, etc.
  • Municipalities have the responsibility of determining "who" and "how much"
    • make educated decisions on the appropriate use of funds.
    • need to see where all the $ are going via monthly reports.
    • work with OCGA and charities to achieve the right balance, avoid being "victims" of positive growth
      • trying to do more in the community with the funds available
        • leverage the charities´ manpower & move funds around
      • important for charities to align on spending plan with municipalities
        • to avoid the remedies for excess funds
          • donate to another charity (food banks, mental health, shelters)
          • give back the funds
    • often reach out to OCGA to discuss policy/ rule changes as they deem necessary
      • to keep up with a dynamic and changing world
    • need to submit a non-conformance (breach) report monthly as part of their contractual relationship with OLG.
      • need to have repercussions in order for the rules to be taken seriously
        • policies are designed to mitigate problems
        • attendance is "critically important" to justify the direct funding model and its advantages
  • comment from an attendee regarding the importance of educating patrons about those who benefit from the charities, where the funds are used.
    • OCGA and gaming centres developing strategies to do so, within the limitations of space at each location.
  • question from a charity about the need to use Bingo funds to pay admin costs (mandatory insurance for club directors, etc.), if no other revenue sources
    • OCGA is trying to be flexible in a changing world
  • OCGA stressed again the importance of timely reporting and having proactive conversations with the municipality to align on a robust spending plan.
